Using labels effectively in Confluence can help your company organize and categorize your content better. Here are some best practices:
Consistent naming
Create a consistent naming convention for labels to avoid duplicates and confusion. Use clear, descriptive terms. A one word label is the starting point. Use a more specific word like ‘conferences’, not a general term ‘sales’. Often it takes two words, but avoid longer label names. Decide if you use dashes or underscores in compound words, i.e. sales_meeting or sales-meeting. No need to worry about capitalization, labels in Confluence can only be lowercase.
Standardization of categories
Creating categories for your pages is the main reason savvy companies uses labels. Create a list of predefined labels for common topics, projects, or departments. This helps team members use the same labels.
Limit label use
Try to use a manageable number of labels per page to keep things organized. Too many labels can lead to them not being using properly. Aim for no more than 5 relevant labels per page to maintain clarity.
Use Hierarchical labels
If applicable, use a hierarchy (e.g., “project-XYZ”, “project-XYZ-phase1”) to group related content.
Review and clean up
Regularly review and remove unused or outdated labels to keep the use of labels done well.
Incorporate labels in search
Encourage using labels as filters when searching for content. Type 'labelText:' in the search bar to find pages with specific labels.
Educate team members
Provide training or documentation on how to use labels effectively. Encourage team members to follow the established practices.

How to add labels to Confluence page
without a label manager Confluence
Method 1: when in publish mode
- Scroll down to the bottom of the page and click ‘+ Add label’
- Start typing to find an existing label or to create a new one
Method 2: when in edit mode
- Click the three dots (More actions) in the top-right of the page
- Select ‘Add labels’
- Type in the keyword you want to use for your label, click enter/return
- Click Update in the top-right of your page to update your changes
Viewing and managing labels

Using labels effectively can greatly enhance your ability to find and categorize information in Confluence. A label manager Confluence gives users additional options.
View labels
Labels are displayed at the bottom of the page. You can click on a label to see other pages with the same label.
Remove labels
While editing the page, click on the label icon again to remove labels by clicking the ‘X’ next to them.
Use labels to categorize spaces
Labels can be used to group related spaces into categories in the Space Directory. Add as many space categories to a space as wanted. Add or remove labels as needs change.

It requires space administrator permissions to add categories to a space.
- Go the the space and select Space Settings from the sidebar
- Select Space details from the Manage space card
- Select Edit to the right of Categories
